Privacy Policy

This Privacy Policy explains what information RepLabIQ collects when you participate in a reference call, how it is used, and your rights regarding that information.

1. Information We Collect

When you participate in a reference call, we collect:

  • Identity information — your name, as provided by the recruiting firm that invited you.
  • Call recording and transcript — an audio recording of the call and a text transcription of that recording.
  • Consent record — the timestamp, IP address, browser type, and disclosure version at the moment you accepted consent.
  • Contact information — email or phone number used to deliver the invite, if provided by the recruiting firm.

We do not collect payment information, social security numbers, or government-issued ID numbers.

2. How We Use Your Information

Your information is used exclusively to:

  • Conduct the AI-led reference call and generate a confidential reference brief.
  • Deliver the brief to the recruiting firm and their client named in your invite.
  • Maintain a consent audit record for legal compliance purposes.

We do not use your information to train AI models. We do not sell, rent, or share your information with any party outside the specific hiring engagement that prompted your invite.

3. Data Storage and Security

All data is stored in Supabase-managed PostgreSQL and object storage hosted in the United States (US East region). Data is encrypted at rest using AES-256 and in transit using TLS 1.3. Access is restricted to authorized RepLabIQ personnel only.

4. Data Retention

Call recordings, transcripts, and consent records are retained for the duration of the hiring engagement. RepLabIQ does not currently publish a formal retention schedule. Contact us if you would like to request deletion of your data.

5. Recording Consent and State Law

RepLabIQ complies with the Telephone Consumer Protection Act (TCPA) and applicable state recording consent laws. We obtain explicit written consent before any call is recorded. Until automated state detection is available, we treat all participants as if they are located in an all-party consent state, regardless of actual location.

6. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access a copy of the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data (subject to legal retention obligations).
  • Decline participation at any time before or during the call.

7. Third-Party Services

RepLabIQ uses the following third-party services to operate the platform. Each has its own privacy practices:

  • Supabase — database and file storage (US region)
  • ElevenLabs — AI voice agent for conducting calls
  • Anthropic — AI model used for brief generation
  • Resend — transactional email delivery for invite links

No reference giver data is shared with these providers beyond what is operationally necessary to conduct the call and generate the brief.
